How I Plan a Big Birthday Party at Home
Practical lessons from years of hosting our family's July birthday celebrations.

💡 My Biggest Lesson
Plan from the number of people outward.
Once you know approximately how many guests you're expecting, it's much easier to plan the food, seating, favors, games and space you'll need.
👥 1. Start With Your Guest List & Invitations
Start with your guest list because almost everything else—food, seating, favors and even the amount of space you'll need—depends on how many people you expect.
When Adriel and Jael were younger, I made printed invitation cards for them to give to their friends at school. Since I didn't always know their friends' parents or have their contact information, the cards included all the party details and let them know that parents were welcome too.

Inviting your child's school friends but don't know their parents' contact information?
Don't overlook the traditional invitation card! That's what I did when Adriel and Jael were younger. Send the card through your child and include:
Date • Time • Location • RSVP • Who is invited
If parents or siblings are welcome, say so clearly.

Facebook, digital invitations, or traditional invitation cards can all work—use what fits your guest list best.

🎭 2. Plan Your Decorations — and a Theme, If You Want One
Not every birthday party needs a theme. Many of our celebrations were simply birthday parties with colorful balloons, decorations, cake and all the things that make a birthday feel festive.
But if you do want a themed celebration, choosing the theme early can make the rest of the planning easier because it can guide your decorations, cake, tableware, invitations, goodie bags and even what the family wears.
For one of Adriel and Jael's birthday celebrations, for example, we chose a Mickey & Minnie theme. Once we decided on it, I carried the theme throughout the party—from the shirts our family wore to the cake and cupcakes, piñata, balloons, decorations, party plates and cups.. We even had Mickey and Minnie come to our home to entertain the children.
I didn't simply book the characters and wait for them to arrive. I had several conversations with the party planner beforehand about what they would do with the children, how the entertainment would be carried out, and how it would fit into the flow of our party.
That little bit of planning helped everything come together naturally on party day.
🎈 Prefer a Simple, Non-Themed Birthday Party?
A birthday party doesn't need a specific theme to feel festive. You can keep things simple with balloons, a birthday banner, table decorations, plates and napkins in coordinating colors, and let the cake and celebration be the focus.

If you enjoy themed parties, choosing a theme can be a fun way to bring the celebration together. The theme can be as simple or as detailed as you want—it might influence the colors and decorations, or you can carry it through the cake, tableware, goodie bags, family attire and entertainment.
For one of Adriel and Jael's birthday celebrations, we decided to go a little further and chose a Mickey & Minnie theme. ❤️

🎯3. Plan a Few Games & Activities
Some of the happiest pictures from our July birthday parties weren't posed pictures at all—they were the children running, laughing, competing in games, doing crafts and taking turns at the piñata.
One thing I learned was that you don't need to schedule every minute of a party. Children will find plenty of ways to have fun on their own. But having two or three organized games ready can bring everyone together and keep the celebration moving.
And these don't have to be outdoor games. Many of the games we played can easily be adapted for an indoor or outdoor birthday party, depending on your space, weather and the ages of your guests.
🎉 Some of the Party Games We Played
🏃 Bring Me Something
This one can get very funny—and the adults often end up participating without realizing it!
How to play: Have the children stand together while one person acts as the game leader. The leader calls out an item, and the players race to find it and bring it back.
For example:
“Bring me... Mom's credit card!” 😂
Of course, the child has to run back to Mom or Dad and ask for it!
Other examples could be something simple and safe such as a hair tie, a certain-colored item, a sock, a hat or something beginning with a particular letter.
First person back with the correct item wins the round.
💡 Tip: Decide on your “Bring Me” items before the party so you're not trying to think of them while everyone is waiting.
🎵 Name That Tune
Music makes this one easy to adjust for different ages.
How to play: Play just a few seconds of a familiar song. The first person—or team—to correctly name the song earns a point.
For younger children, choose songs they'll recognize. For teens and adults, you can make the songs more challenging or divide everyone into teams.
The person or team with the most points wins.
🪑 Trip to Jerusalem / Musical Chairs
This is one of those classic party games that almost everyone understands.
How to play: Arrange chairs in a circle with one fewer chair than the number of players. Play music while everyone walks around the chairs.
When the music suddenly stops—find a seat!
The person left without a chair is eliminated. Remove another chair and continue until only one player and one chair remain.
Last person seated wins.
👫 Group Yourselves!
This is especially fun with a larger crowd because everyone has to move quickly.
How to play: Have everyone spread out. The game leader suddenly calls a number:
“Groups of TWO!”
Everyone quickly finds a partner.
Then:
“Groups of THREE!”
Everyone has to reorganize themselves into groups of three.
Keep changing the number—2, 3, 4, 5, etc. Anyone who can't get into a complete group when time is called is eliminated.
Continue until you have your final winner or winning group.
💡 This works especially well when you have enough guests to create a little friendly chaos. 😂
👔 Make the Longest Line
How to play: Divide guests into teams. Give them a set amount of time to create the longest continuous line using safe items they already have or that you've provided.
They might connect things such as belts, shoelaces, scarves or other safe objects.
When time is up, measure the lines.
The team with the longest connected line wins.
💡 For children's parties: Keep the rules simple and decide beforehand what types of items are allowed. No one should have to remove anything inappropriate or valuable.
🪅 Piñata Time
Our piñata wasn't simply part of the decorations—it became another activity for the children.
Let the children take turns while everyone else watches and cheers. Have an adult supervise, especially when a stick or bat is being used, and keep the other children well away from the swinging area.
For younger children, a pull-string piñata can be an easier alternative.

🎁 Don't Forget the Prizes
The games were always more exciting when there was a little prize waiting at the end. I usually prepared small prizes for the winners, but I also liked having a few inexpensive treats or tokens for the children who participated but didn’t win.
The prizes didn’t have to be expensive. Small toys, activity items, stickers, school supplies or little treats were enough to make the children excited to join in.
💡 My Tip
Plan your prizes when you plan your games.
For each game, think about:
How many winners? → How many rounds? → How many prizes will I need?
Then add a few extras. It’s much easier to have prizes left over than to realize during the party that you’ve run out.

Plan the game and the supplies at the same time.
For every game on your list, write down:
Game → supplies needed → number of players → who will lead it → prize
For example:
Musical Chairs → chairs + music → 10 children → Uncle/Auntie leads → 1 winner's prize
That way, on party day you're not suddenly saying:
“Wait...who has the music?” 😂
or
“Where are the prizes?”
Have everything together and ready before your guests arrive.
🎁4. Prepare Goodie Bags & Giveaways
Goodie bags were always part of our children's birthday celebrations. I liked sending the kids home with a little something to remember the day—but I also tried to include things they could actually use.
Instead of filling the bags with only toys, I usually mixed a few fun items with school supplies such as pencils, erasers, pens, small scissors, little notebooks or booklets, and stickers.
Nothing had to be expensive. When you're preparing goodie bags for a large group of children, small and useful items can add up to a fun little collection.
A little creativity became part of the party fun—and something the children could take home with them.
💡 My Goodie-Bag Tip
Count from your guest list—and always prepare a few extras.
If I was expecting 20 children, I wouldn't prepare exactly 20 bags. Having a few extras helped in case another child came along, a sibling joined the party, or I simply miscounted.
I would much rather have two or three goodie bags left over than discover during the party that I was one short. 😄

🍽️ 5. Plan Your Food for a Crowd
Food was always a big part of our birthday celebrations. Once I had an approximate guest count, I planned the menu, made my ingredient list, figured out where to shop, and decided what I could prepare ahead.
📝 How I Plan the Menu
My process was fairly simple:
Choose the menu → Make the ingredient list → Estimate quantities → Shop → Prep ahead → Cook → Set up the buffet
Some ingredients came from our regular grocery store, while Filipino and Asian dishes sometimes required a separate trip to an Asian market. Planning those shopping trips ahead made party preparation much easier.

Don't try to cook everything on party day.
Once the menu is set, decide what can be made ahead, prepped ahead, or cooked closer to serving time. That makes a big difference when you're preparing several dishes for a crowd.

⛺ 6. Plan Your Tables, Seating & Party Setup
For a larger party at home, I learned that having enough space was just as important as having enough food.
For our backyard celebrations, we planned where to place the tent or canopy, tables, chairs, umbrellas, buffet area and activity space before the guests arrived. The goal was to give everyone somewhere comfortable to gather while still leaving enough open space for the children to play and for us to hold the games.
When you're expecting a crowd, don't just think about how many tables and chairs you need. Think about how people will move through the party—where they'll get their food, where they'll sit, where the children will play, and whether guests will have enough shade if you're celebrating outdoors.

Plan the space around how your guests will actually use it.
Before party day, think through:

🪑 Seating — Enough tables and chairs for your expected crowd
🍽️ Food Area — A buffet setup that guests can reach easily
🎂 Cake & Dessert Area — A separate spot if space allows

You can even take a quick walk through the space before setting everything up and imagine:
Where will people enter? → Where will they get food? → Where will they sit? → Where will the children play?

👣 A Footprint to Remember
Looking back, I don’t remember whether every decoration was perfectly placed or whether everything went exactly according to plan. What I remember are the children laughing, friends filling our home, food around the table, birthday candles being blown out, and our family celebrating another year together.
Those are the footprints worth keeping.
